Security and confidentiality
We respect your need for security and confidentiality when selecting your document storage provider. To that end we are registered with the Information Commissioners Office as Data Processors Licence No: Z1656129.
Our staff are fully trained, permanent, English speaking employees with a full understanding of client confidentiality.
All main doors to the building are access controlled with the passwords changed on a regular basis. All staff go through Disclosure Scotland checks at a basic level.
Additionally our records centre has full colour, 30 day digital recorded CCTV which covers all areas within our securely fenced compound.
Clients are welcome for accompanied tours of our storage facility but on arrival will need to deposit all phones, PDAs, laptops, cameras and any recording devices at reception. They will also be required to read and sign a confidentiality agreement. There is no unauthorised public access to our facility.
During transit we take the utmost care over your documents. Once files are scanned and on the vehicle for delivery at no point will the vehicle be left unlocked. Loose documents are moved in secure crates, boxes or document wallets in the rear of the vehicle. No documents are ever transported within cabs or through sub-contracted courier servcies. No vehicle is ever loaded, left unatteded and unlocked.
Ordering our services is mostly done online through secure, encrypted lines at https://www.theboxvault.com/rswebnet This offers clients the greatest control over their archive material with full editing rights. Access is obviously controlled with the use of User names and secure passwords negating the need to use e-mail or fax machines for ordering. Ordering by e-mail or fax is not recommended by Data Protection agencies.
